Because the size of our fleet is approximately 300 vehicles, we have the following vehicle operation practices as our policy. Each time an (Company Name) vehicle is involved in an accident there are several negative outcomes or possibilities:
With all these facts in mind, we adopted the attached fleet safety program. Highlights include:
Company vehicles are furnished for the purpose of providing transportation to conduct company business. Company vehicles are assigned and/or permission to drive vehicles given to employees based on the business use required. Vehicle use is a privilege, not a basic company fringe benefit. We have a substantial investment involved and ask for your help in the safe and careful operation of the vehicle. Remember, when you are driving an (Company Name) vehicle, you are the company as far as other motorists are concerned. Please drive with pride and in a professional manner. Remember, you represent our company. You make an impression on our customers and motorists every time you get behind the wheel. Please make sure that is a positive impression. I acknowledge receipt of the attached Fleet Vehicle Safety Program policy. I understand the safety objectives and requirements of policy. I agree to abide by this policy. Print Name: ___________________ Signature: ______________________ Date: ______________ FLEET VEHICLE SAFETY PROGRAMOverview:This Fleet Vehicle Safety Program meets three main objectives by:
Point System For Current Employees:This policy is based on a point system. The point values are differentiated by the severity of the violation. Group One consists of many common Class A traffic infractions. The list of representative Class A violations is shown below. Group One also consists of company Policy items considered violations because they conflict with the standards of performance required of employees. Any employee who is found guilty by the court system of a Group One-type infraction or by the company of violating a Group One Policy while on company business or other authorized use may be disciplined, up to and including termination, and may also be disqualified from future company vehicle use. Group Two contains Class B & C infractions and company Policy violations. Any employee who is found guilty of Class B or C violations or Policy items while on company time or other authorized use of the vehicle, will receive the points indicated. An employee will lose the use of a company vehicle (in all cases) and may be disciplined or terminated when he or she has received more than twelve points in a three-year period. The standard practice by insurers to not include points acquired longer than a three-year period will be used as our guideline in totaling points. If any company employee becomes uninsurable at a reasonable rate because of personal or on-the-job driving history, regardless of point totals, the company also retains the right to disqualify the person from driving. Group One Infractions and Policy Violations:Below is a partial list of Group One driving or policy violations. Employees will receive points when found guilty of any of these violations while operating a company vehicle or on company business.
The items listed above (a through f) are considered to be an extremely serious and will cause the employee to lose the privilege of using a company vehicle.
Note: For the purposes of this policy, the maximum points we will attribute to any one incident with multiple citations/infractions is 10 (this is not applicable to items (a) through (f) above and similar infractions). Group Two Infractions and Policy Violations:Below is a list of Class B and C traffic infractions and policy items. Employees will receive these points when found guilty of any Class B or C violation while operating a company vehicle or on company business.
Job Applicants (both internal candidates and prospective employees):Applicants for positions where driving is an essential function will be assigned points for all prior traffic convictions over the past three years. Human Resources will review both external and internal applicant (promotion, transfer, reassignment, etc.) driving records when the position requires driving as an essential function of the job. Prospective employees or internal candidates with eight or more points within the last six months will not be considered or selected for jobs that require driving as an essential function. Points will be assigned based on the values shown in Group One and Two. External applicants or employees who have six or more points in the past six months should be considered a high risk and subject to review if driving is an essential part of the job. Corrective Actions:Corrective actions should be used in conjunction with the point system where appropriate. Violations of company Policy items are subject to disciplinary processes separate and apart from this point system. The employee's driving performance will be discussed with the employee when they have acquired six to eight points in a 12-month period. The employee will be encouraged to take a safe driving (video) program. Employees will receive a written warning when they have more than eight points over a rolling 12-month period or 12 points in any 36-month period. The employee will be required to participate in a safe driving class or program. Employees who participate in an accredited safe driving class will receive “credit” for a reduction of four points (allowable one time, every rolling three years) from their cumulative points. This provides an employee with an opportunity to improve his or her record and take corrective action to prevent further impacts. Items (a) through (f) in Group One are not eligible for this credit provision. More than twelve points will result in losing authorization to drive a company vehicle and may result in termination. Vehicle MaintenanceEmployees who are provided a company vehicle are expected to take responsibility for the safe operation, maintenance, and business usage of that vehicle. Attachment one outlines these parameters. Failure to properly maintain vehicles according to the vehicle maintenance and usage guidelines may result in losing the privilege to operate a company vehicle. Accident - Drug Testing(Company Name)’s drug free workplace program policy will be followed. Nothing in this policy is designed to supercede or replace the company’s drug and alcohol program. Accident InvestigationAttachment two outlines the accident investigation procedure for accidents involving company vehicles. Vehicle Accident Report Kits should be available in the vehicles. Driving ConductFrom time to time we receive complaints from the general public about the driving habits of our employees driving company vehicles. (Company Name) employees are expected to drive safely, courteously, and professionally when on company business. Complaints from the public will be investigated by the Driving Safety Committee and the appropriate action taken. We will make every effort to verify the facts of the complaint and will give the employee involved an opportunity to respond to the complaint. Any employee who receives two or more complaints on his or her driving will be required to view a video on driving safely and courteously. Circumstances may indicate formal counseling or other corrective action. Verified complaints of unsafe driving in a company vehicle or while on company business will receive points applicable to the most analogous infraction on the Group One and Two lists above. Employees are responsible for payment and resolution of citations, including parking tickets issued in conjunction with operating company vehicles or vehicles used for company business purposes. Attachment OneVEHICLE MAINTENANCE AND USAGE GUIDELINESBelow is a list of some practical and basic responsibilities that go hand in hand with the privilege and benefits of driving a company vehicle. They include: Your vehicle must be serviced every 3000 miles. You may use (Company Name)’s corporate account at Jiffy Lube locations or contact Johnny Swensson at 503/220-3530 for other options. If you need a Jiffy Lube card, contact Johnny. Contact Johnny Swensson to schedule and get approval prior to any major repairs (tires, wheels, brakes, engine repair) on the vehicle. Johnny will provide you information on where to have the repair done (he’ll review warranty issues) and to help secure a loaner vehicle. In Johnny’s absence contact Jeff Harrod. For new tires, tire chains, tire repair or wheels, please use E C’s corporate account at the local Les Schwab tire store. Contact Johnny prior to any tire, chain or wheel purchase. Credit cards are issued for gasoline purchases for the company vehicle only. The credit cards cannot be used for any grocery type purchase. The use of the card for anything other than company fuel purchases is theft and will result in the loss of authorization to use company credit cards and possibly the use of the vehicle, and/or disciplinary for theft. The vehicle can only be driven by an (Company Name) employee for business use or other company authorized purpose. Do not allow family, friends, etc. to drive the vehicle. Do not transport pets or unauthorized passengers. Keep the vehicle clean on the outside and inside. Take care not to spill food or drink on the upholstery or carpets. Do not affix or display on the vehicle, stickers, decals, or similar items that are not company approved. The vehicle should be kept in excellent condition – it is a company fiscal asset. The vehicle must be operated in a safe and courteous manner at all times. Remember you represent the company and the vehicle is easily identifiable by the public. The standards of employee conduct apply to the use of company vehicles. Please contact (Name) if you need any additional information on the use and maintenance of company vehicles.
